Billing details and accounting codes

Billing details are the company title, tax number and address that appear on an invoice. You record your Organization's own billing details once, and you keep billing details and an accounting code for your API partners, sub-agencies, corporate buyers and contract suppliers. Your accounting program uses them to issue and book invoices; Adrasis does not issue invoices itself.

For example, Blue Coast Travel Ltd. records its own tax number under Organization settings, gives its API partner the accounting code 120.01.0042 and names Hotel Sunrise A.S. as the supplier of its summer contract.

The tax number is checked as you save it. A Turkish tax number (VKN) and a Turkish identity number (TCKN) must pass their check digits, the same rule that applies to invoice details given at your online shop checkout.

What each record holds

Field Rule
Company title The registered title. For a sole proprietor identified by a Turkish identity number (TCKN), enter the person's First name and Last name instead, because e-invoices name such a seller or buyer as a person.
Tax number type Turkish tax number (VKN), Turkish identity number for a sole proprietor (TCKN), or a tax number issued outside Türkiye.
Tax number Spaces and hyphens are removed. A VKN has 10 digits and a TCKN 11.
Tax office Required for a VKN and for any Turkish address.
Address Country, city and street address. A Turkish address also needs its district.
Invoice email Optional. Where invoices to this party are sent.
E-invoice status Optional for Turkish parties: registered for e-Fatura, or e-Arşiv only.
Travel agency licence no. Optional, for travel agencies. Your own licences and memberships, which your shops show, are kept under Licences and memberships.
Accounting code The code your accounting program knows the party by, such as 120.01.0042. Each code can be used on one card only within your Organization.

Record your own billing details

  1. Open Organization settings

Open the organization switcher and choose Organization settings, then Billing details in the side rail under Organization.

  2. Enter the company

Choose Add billing details, enter the company title, tax number and address, and save. Only users who can manage Organization settings can change them.

  3. Use them when registering for card payments

When you register your Organization for card payments, the registration form starts from these billing details, so you do not type the company title, tax number and address again.

One set of billing details per Organization. If you invoice from two companies, open one Organization for each company.

Billing details of the parties you trade with

Party Where you enter it What you enter
API partner Connectivity, Sales channels, API partners, open the partner account, Overview tab, Billing details card The partner's billing details and your accounting code for it.
Sub-agency Sales Network, open the sub-agency, Overview tab, Billing details card Your accounting code only. The sub-agency keeps its own billing details in its Organization settings, and you always see its current details.
Corporate buyer New booking, guest details, Invoice details, choose Corporate buyer Pick a company by name and review its billing details and accounting code, or choose New corporate buyer to add one. Viewing and adding cards require the corresponding permissions.
Supplier Contracts, open the contract, Supplier card Pick an existing supplier by name or choose New supplier to add its billing details and accounting code.

A sub-agency must record its billing details first. If it has not, the card cannot be created yet. Ask the sub-agency to add them under its Organization settings.

What this does not do

  • It does not issue invoices. Your accounting program or e-invoice provider issues and numbers them.
  • It does not collect money or change payment terms. Selecting a company as the invoice buyer does not turn a prepaid booking into an on-account sale. For an on-account Console booking without an API partner, a selected corporate buyer card identifies the company that owes the amount.

For example, Blue Coast Travel Ltd. books a stay for an employee of North Star Engineering Ltd. and selects that company's card. The sale record names the company and carries its accounting code. If the rate requires prepayment, that requirement still applies; choosing the card does not record a payment.
